Information you give us
If you use the contact form, we collect:
- your name, work email address and organisation
- the area of interest you select
- your role and message, if you choose to provide them
The form asks you to confirm that you have read this notice. That tick is an acknowledgement, not a sign-up to a mailing list. We do not store form submissions in the website database. They are emailed to us so we can reply. If you email us directly, we receive your address and whatever you include in the message.
You do not have to contact us. If you use the form, we need your name, work email, organisation and area of interest in order to respond. Role and message are optional.
We use these details to answer demonstration and integration enquiries, and to take any steps you ask for before a contract. We rely on our legitimate interests in handling genuine business enquiries and, where it applies, on steps taken at your request before entering a contract. We do not use them for unrelated marketing.
Information collected automatically
Like most websites, our host keeps server logs. A log entry can include your IP address, browser type, the page requested and the time of the request. We use logs to keep the site secure and to diagnose faults, on the basis of our legitimate interests in running a reliable website. We do not use them to identify you for marketing, and we do not build a profile from them.
Analytics
We use Google Analytics to understand how this website is used. It sets cookies on your browser and collects the pages you view, how you arrived, an approximate location derived from your IP address, your browser and device, and an identifier stored in the cookie. Google Analytics does not store your full IP address. We use these figures to see which pages are used and to improve the site. We do not use them to contact you, and we do not combine them with the details you send by form or email. The lawful basis is our legitimate interests in understanding and improving the site.
You can block or delete these cookies in your browser. Google explains how it uses information from sites that use its services in its privacy policy.
Cookies
Google Analytics sets cookies whose names begin with “_ga”. They distinguish one browser from another and normally stay on your device for up to two years. We do not use advertising cookies. Someone signed in to administer the site also receives essential login cookies for that session.
How long we keep it
We keep enquiry emails for up to 24 months after our last contact with you, then delete them. We may keep a message for less time once the enquiry is finished, or for longer where we need it for a contract, a legal claim, or another legal obligation.
Server logs are kept for the period our host retains them for security and troubleshooting, and are then deleted. Google keeps analytics data for the retention period set in our Google Analytics account, which is no longer than 14 months. That data is not linked to your contact details.
Who we share it with
We do not sell personal data. We share it only with processors who help us run the site and handle enquiries:
- our email provider, so we can receive and reply to messages
- our website host, which stores the site and its server logs
- Google, which provides Google Analytics
They process that data on our instructions for the purposes in this notice. We may also disclose information where the law requires it.
Transfers outside the UK
Some of those providers may process data outside the United Kingdom. Where they do, we rely on a UK adequacy regulation — including transfers to the European Economic Area, and the UK–US data bridge where the provider is certified — or on an appropriate safeguard such as the International Data Transfer Agreement.
Your rights
Under UK data protection law you can ask us for a copy of your personal data, to correct it, to delete it, or to restrict how we use it. You can object to processing based on legitimate interests. Where processing is necessary for a contract, you can ask for a portable copy. We do not make decisions about you by automated means that have a legal or similarly significant effect.
Email [email protected] to use these rights. We will respond within one month. You can also complain to the Information Commissioner’s Office at ico.org.uk.
Children
This website is aimed at organisations. We do not knowingly collect personal data from children.
Changes to this notice
If we change this notice, we will post the new version on this page and update the date at the top.
